This policy explains what information FreeLaptop.org collects through the forms on this site, why we collect it, and how you can ask us to delete it.

Scope
This policy applies to information you submit through FreeLaptop.org, specifically the laptop request form, the individual donation form, the bulk and surplus donation form, the partnership form, and the general contact form. It also covers routine technical information generated when your browser loads this site.
Information we collect
We collect what you type into our forms. Depending on the form, that includes:
- Contact details — your name, email address, and optionally a phone number.
- Location — city, state, and ZIP code on the request form; city and state elsewhere. Location is used for matching and logistics, not for tracking.
- Request details — how you would use a laptop, whether you currently have computer access, an optional age range, an operating-system preference, and the description you write about your situation.
- Device details — quantity, manufacturer, model, approximate age, condition, whether a storage drive is present, your preferred transfer method, and any description or photograph you choose to attach.
- Organization details — organization name, type, contact name and role, business email and phone, equipment volumes and frequency, and your message.
- Technical information — standard web-server and form-processing data such as IP address, timestamp, and browser user agent, which our hosting provider records to deliver the site and filter spam.
Why we collect it
- To review laptop requests and, where a device is available, to match and arrange delivery or pickup.
- To evaluate donation offers, tell you whether we can accept a device, and coordinate the handover.
- To respond to partnership and bulk-equipment enquiries and plan logistics.
- To answer questions you send through the contact form.
- To keep basic operational records of what was donated, evaluated, and distributed.
- To detect and block spam and abusive submissions.
We do not sell your information, and we do not use it to build advertising profiles or send marketing you did not ask for.
Please do not send sensitive information
Our forms are deliberately narrow. We do not ask for and do not want Social Security or national identification numbers, immigration or citizenship documentation, banking or payment details, medical records, or complete tax records.
Please do not include information like this in a free-text field or an attachment. If you send it anyway, we will delete it when we notice it. If we ever need something additional to complete a specific arrangement, we will ask you for it explicitly and explain why.
Photographs and attachments
The donation form allows an optional photograph of a device. Please make sure any image you upload shows only the equipment — not screens containing personal information, documents, or other people.
How submissions are stored
Form submissions are processed and stored by our website hosting provider's form-handling service and are accessible only to people involved in running FreeLaptop.org, through password-protected accounts. We keep submissions for as long as they are operationally useful — for example, while a request is active or while a donation is being arranged — and remove them when they no longer serve a purpose.
We apply reasonable, practical safeguards to the information we hold. No method of transmission or storage is completely secure, and we do not claim that ours is. We make no representation that our practices satisfy any particular certification, standard, or regulatory framework.
When we share information
Information is shared only when it is necessary to do what you asked us to do:
- With service providers that operate this website and process form submissions on our behalf.
- With a local partner organization when a device is being distributed through them and your details are needed to complete the handoff — limited to what that step requires.
- With a shipping or transport provider when a device is being sent to or collected from you.
- Where we are required to do so by law, or where it is necessary to protect the safety or rights of people involved.
Individual submissions are never published on this site or made publicly visible. We do not post recipient stories, names, or photographs.
Cookies and analytics
This site does not set advertising or cross-site tracking cookies. Our hosting provider may use strictly functional mechanisms needed to serve pages and to protect forms from automated abuse.
Accessing or deleting your information
You can ask us what you submitted, ask us to correct it, or ask us to delete it. Send the request through our contact form, choose “General question” or the reason that fits, and include the email address you originally used so we can locate the submission.
We will action deletion requests within a reasonable period. Some records may be retained where there is an ongoing operational or legal reason to keep them; if that applies, we will tell you.
Children
This site is not directed at children. The request form includes “Under 18” as an age range because young people need computers too, but a parent, guardian, or a school or community organization should submit or supervise a request on behalf of a minor.
Changes to this policy
We may update this policy as our process changes. The revision date at the top of the page will always reflect the current version.
